This notice explains what personal information Good Sense Accountancy collects, why we collect it, and what we do with it. It covers clients, people who get in touch with us, and visitors to this website.

Good Sense Accountancy is the controller of your personal information. That means we decide how and why it is used.

What we collect
- Contact details: your name, address, email address and phone or WhatsApp number.
- Identity and tax details: your date of birth, National Insurance number, Unique Taxpayer Reference, company and VAT numbers, and the documents we need to confirm who you are and where you live.
- Financial records: bank statements, invoices, receipts, sales records, CIS statements, payroll records and details of your income and expenses.
- Messages: emails, texts, WhatsApp messages and notes of calls.
- Employee details: if we run your payroll, the information about your employees that we need to do it.
We ask only for what we need to do the work.
Where it comes from
Mostly from you. We may also get information from HMRC and Companies House when we act for you, from your previous accountant if you ask us to contact them, and from bookkeeping software or bank feeds if you connect them.
Why we use it, and our legal reason
- Replying to your enquiry and giving you a quote. We do this to take steps you ask for before a contract, and because it is a normal part of running our business (UK GDPR Article 6(1)(b) and 6(1)(f)).
- Preparing your accounts, returns and payroll, and filing them for you. This is needed to carry out our contract with you (Article 6(1)(b)).
- Checking your identity, keeping records and following anti-money laundering and tax law. We are required by law to do this (Article 6(1)(c)).
- Invoicing, getting paid, keeping our insurance in place and dealing with complaints or disputes. These are legitimate interests of our business (Article 6(1)(f)).
We only send you messages about the work we do for you. We do not send marketing without your consent. We do not make decisions about you by automated means.
Who we share it with
- HMRC and Companies House, when we file on your behalf.
- Companies that provide services to us and process information on our behalf, such as accounting and tax software, secure file storage, email and messaging services.
- Our insurers and professional advisers, when we need their help.
- Regulators and law enforcement, where the law requires it. This includes our anti-money laundering supervisor.
We never sell your information.
Transfers outside the UK
Some of our software providers may store or access information outside the UK. Where that happens, we make sure it is protected by approved safeguards.
How long we keep it
- Identity checks: five years after we stop acting for you.
- Accounts, tax working papers and related records: six years after the end of the period they cover.
- Enquiries that do not become work: twelve months.
After that we delete or securely destroy the information, unless the law requires us to keep it longer.
How we protect it
We keep your information in password-protected systems. Only people who work for us and need it for your work can see it.
Your rights
You can ask us to:
- give you a copy of the information we hold about you
- correct anything that is wrong
- delete your information, where the law allows
- limit how we use it, or object to how we use it
- send your information to you or another provider in a usable format
Email us and we will reply within one month. There is normally no charge.
Complaints
Please tell us first so we can put things right. You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

This website does not use cookies or analytics and has no forms. Its fonts are hosted on our own site, so visiting does not send your details to a font provider. If you email or message us, we handle what you send as described above.
Changes to this notice
If we change how we use your information, we will update this page and the date at the top.
